Spam Filter Settings
As an email admin, you can control a number of parameters for the mailboxes on your domain as it pertains to the spam filtering features utilized by the email platform.
To access these, choose "Filtering" from the left sidebar, and then choose "Settings" to see the options. Let's go over each of them:
Enable Autowhitelist - automatically adds trusted senders or their domains to a "safe list" based on their past behavior or other predefined rules, rather than requiring manual addition by a user. This automation prevents important emails from being flagged as spam, improving deliverability for legitimate messages like order confirmations or newsletters by bypassing the spam filter without human intervention.
Filter Sensitivity - allows you to choose how aggressive the filter is for incoming mail. If you get an abundance of spam mail, you could consider setting this to a higher number. However, the higher the number, the greater the possibility that legitimate senders and emails might get flagged as spam inadvertently. The default setting is "Normal Sensitivity" (or '5' on the number scale), but that can be manually adjusted as needed.
Keep Spam For - specifies how many days the system should keep messages marked as "Spam" by the filter before deleting them. The default is 7 days, but this can be adjusted to anywhere from 1 to 30 days.
Send Spam Report - in set intervals, the system will send a spam report to to each user's mailbox with a log of which messages were marked as spam. This report gives the user an opportunity to review spam and identify any messages that may have been filtered that should be allowed instead. This setting specifies how often spam reports are sent. The default is every 12 hours, but this can be adjusted to "Don't Send" or from set intervals between 1 and 24 hours.
Spam Report Content - when the spam report arrives, you can choose to have the report be cumulative, showing all spam currently in the spam folder ("All Spam Messages") or you can choose to have the report contain only new spam messages that arrived since the last report was sent ("Latest Spam Messages").
Spam Report Format - provides an option for receiving spam report emails in "HTML only" (structured with text styling, columns, rows, etc), "TEXT only" (plain text format), or a hybrid of both formats, which is the default ("HTML and TEXT").
Login Location Limit - is a security measure that restricts or flags user logins based on the geographic location of the login attempt. By restricting login locations, organizations can prevent spammers and other bad actors from using a stolen or compromised account to send malicious emails. The default is "1".
But, for instance, if you set your spam filter's login location limit to 3, it allows you to access your account from up to three different geographical locations (based on IP addresses) within a specified timeframe.
This setting is designed to protect your account by making it difficult for a hacker from a different region to gain access, even if they have your password. If you travel frequently, you may need to adjust this setting or temporarily disable it.
